Terms & Conditions

These Terms & Conditions (“Terms”) govern the relationship between Elite Travel Experiences (“we,” “us,” or “our”) and any person or entity (“you” or “Traveler”) purchasing or participating in curated small-group trips with private drivers in Japan (the “Services”). 1.2 By booking or using our Services, you acknowledge that you have read, understood, and agreed to be bound by these Terms.

  • “Traveler” means any person who makes a booking or participates in a trip arranged by Elite Travel Experiences.
  • “Services” includes, but is not limited to, travel planning, arranging accommodations, private drivers, guided tours, and related travel activities.
  • “Trip” refers to any specific itinerary, tour, or travel package arranged by Elite Travel Experiences.

3.1 Reservation Process

  • To reserve a spot on any trip, you must complete the required booking form and pay the deposit (if applicable) or full payment.
  • Bookings are subject to availability and are confirmed only upon receipt of the required payment and our written confirmation.

3.2 Deposits & Final Payments

  • A non-refundable deposit of a specified amount or percentage (as stated in the trip information) may be required to secure your booking.
  • Final payment deadlines vary per trip. If payment is not received by the due date, Elite Travel Experiences reserves the right to cancel your booking and retain any deposits paid.

3.3 Methods of Payment

  • We accept payment via major credit cards, bank transfers, or other methods specified on our website.
  • Any transaction fees (e.g., credit card fees, bank transfer fees) are the Traveler’s responsibility unless otherwise stated.

4.1 Prices

  • Trip prices are generally quoted in Euros or another currency as indicated.
  • Prices are subject to change due to fluctuations in currency exchange rates, fuel surcharges, taxes, or supplier costs, although we strive to maintain published prices whenever possible.

4.2 What’s Included

  • All inclusions are specified in the trip itinerary: accommodations, private driver services, excursions, some hotels may include breakfast, or other items as explicitly stated.
  • Any item not listed as “included” in the trip itinerary is the Traveler’s responsibility.

4.3 What’s Not Included

  • International flights to and from Japan (unless otherwise stated).
  • Travel insurance, passport/visa fees, personal expenses, optional activities, and meals not specified in the itinerary.
  • Gratuities for drivers, guides, or hotel staff (unless stated otherwise).
  • Meals unless otherwise indicated.

6.1 Insurance Requirement

  • We highly recommend that all Travelers purchase comprehensive travel insurance that covers trip cancellation, medical expenses, personal liability, and baggage loss.
  • Travelers are responsible for verifying that their insurance coverage is adequate for the entire duration and activities of their trip.

7.1 Passport & Visa

  • Travelers are responsible for ensuring they have valid passports (with sufficient validity and blank pages) and any required visas or entry permits for Japan.
  • We are not liable for any expenses, refunds, or trip cancellations resulting from failure to obtain the necessary travel documents.

7.2 Health & Fitness

  • Travelers must be in suitable health to undertake the trip.
  • Any medical conditions or special requirements must be disclosed at the time of booking.
  • We are not responsible for any medical expenses or inconvenience that may arise during the trip.

8.1 Traveler Conduct

  • You agree to adhere to local laws and respect local customs and culture.
  • We reserve the right to remove any Traveler from a trip if their behavior is deemed disruptive, abusive, or dangerous to themselves or others.

8.2 Child Policy

  • Children under the age of 18 must be accompanied by a parent or legal guardian at all times.
  • We may have age restrictions on certain tours or activities, stated in the trip details.

9.1 Third-Party Suppliers

  • Elite Travel Experiences acts as an agent when arranging transportation, accommodations, and other services provided by third-party suppliers. We do not own or operate these suppliers and are not liable for any acts or omissions, negligence, or default of these suppliers.

9.2 Travel Risks

  • Travel involves inherent risks (e.g., weather events, political instability, pandemics, accidents). By booking, you acknowledge and accept these risks.
  • We are not liable for personal injury, property damage, delay, or financial losses arising from such risks, except to the extent required by law.

9.3 Maximum Liability

  • Our liability for any claim related to the provision of Services is limited to the amount you paid for that trip.
  • We are not liable for failure to perform any obligation if prevented or delayed by acts of God, natural disasters, pandemics, strikes, war, civil unrest, government actions, or any event beyond our reasonable control.
  • In such circumstances, we reserve the right to postpone, alter, or cancel the trip.
  • We collect personal information necessary for booking, arranging travel, and providing you with relevant services.

Our use of personal data complies with applicable privacy laws. Please refer to our Privacy Policy for details on how we collect, use, and protect your information.

  • If you have any complaints during your trip, please notify us as soon as possible so we can attempt to resolve the issue promptly.
  • Any disputes arising out of or in connection with these Terms will be governed by and construed in accordance with the laws of the jurisdiction in which Elite Travel Experiences is registered.
  • You agree to first attempt to settle any dispute through good-faith negotiations.

We reserve the right to update or modify these Terms at any time. Any changes will be posted on our website and apply to bookings made after the posting date.

Cancellation Policy

At Elite Travel Experiences, we strive to provide our Travelers with exceptional service and transparent policies. This cancellation policy (“Policy”) outlines how cancellations work, including deadlines, refunds, and fees. By booking a trip with us, you acknowledge that you have read, understood, and agreed to this Policy.

1. Cancellation by Traveler

All cancellation requests must be submitted to Elite Travel Experiences in writing (e.g., via email to [emailaddressemail address]) and are effective on the date we receive your written notice.

Our standard cancellation fees are determined by how many days prior to departure your written cancellation request is received. The specific percentages or amounts might differ depending on your trip’s terms, but unless otherwise stated in your booking confirmation, the following general guidelines apply:

    • 61+ Days Before Departure
      • Forfeit your non-refundable deposit only (if a deposit was required).
      • Or, if full payment was made upfront, a portion may be returned minus the deposit amount.
    • 31–60 Days Before Departure
      • 50% of the total trip cost is non-refundable.
      • The remaining 50% (if already paid) will be refunded to you.
    • 0–30 Days Before Departure
      • 100% of the total trip cost is non-refundable.
      • No refunds will be provided at this stage.

Certain specialized trips or peak-season packages may have modified cancellation terms and penalties. If so, these details are listed in the respective trip description or your booking confirmation, and they supersede the general guidelines above.

If multiple Travelers are included under the same booking (e.g., a group booking) and only one or some of them choose to cancel, the applicable cancellation fee(s) will be charged for those individuals, and any adjustments to the total trip cost for the remaining Travelers will be communicated on a case-by-case basis.

Failure to arrive on the scheduled trip start date is treated as a cancellation made within 30 days of departure, resulting in forfeiture of 100% of the total trip cost.

2. Cancellation or Changes by Elite Travel Experiences

We reserve the right to cancel or substantially modify a trip if circumstances beyond our control (e.g., natural disasters, pandemics, political instability, supplier issues, insufficient enrollment) make it unfeasible to operate the trip as planned.

  • If we cancel a trip before departure, you will be offered the choice of:
    • A full refund of all payments made to Elite Travel Experiences for that trip; or
    • Transferring the payments to another trip of equal or lesser value (subject to availability).

In the event an unexpected situation arises after the trip has already begun, we will make reasonable efforts to provide comparable services or accommodations. Any costs for adjustments or rerouting that are beyond our control may be the Traveler’s responsibility.

3. Travel Insurance & Recommended Coverage

We strongly recommend all Travelers purchase comprehensive travel insurance that covers, at a minimum, trip cancellation, medical expenses, baggage loss, and personal liability. Some of our trips may require proof of insurance—please check your booking details.

Travel insurance can help mitigate financial losses if unforeseen events force you to cancel. It is your responsibility to review the policy’s terms, coverage limits, and any exclusions, ensuring it aligns with your needs.

4. Refund Process & Timelines

Refunds are issued via the original method of payment whenever possible. If circumstances require an alternative payment method (e.g., wire transfer instead of credit card), you will be notified in advance.

Once we confirm the amount of your refund, please allow up to 14 business days for processing. External factors (e.g., bank policies, currency exchange, payment provider delays) may affect the speed of funds appearing in your account.

Certain payment processors or banks may impose transaction fees on refunds. These fees are the Traveler’s responsibility unless otherwise stated. We do our best to minimize such fees.

5. Force Majeure Situations

A force majeure event refers to circumstances beyond our reasonable control (e.g., natural disasters, acts of God, strikes, war, epidemics/pandemics, government regulations).

Elite Travel Experiences is not liable for trip cancellations or changes resulting from force majeure events. We will, however, make every possible effort to offer suitable alternatives or rescheduling options, but any additional costs (or partial refunds) depend on third-party supplier policies.

6. Changes to This Policy

We reserve the right to update or modify this Cancellation Policy at any time. Changes become effective upon posting to our website and will apply to new bookings made thereafter. For existing bookings, the version of the Policy in effect at the time of your booking will govern unless a change is required by law.
